My Roadie

Privacy Policy

Effective Date: September 4, 2026

My Roadie is a business and tour-management tool designed for independent musicians and other music professionals. This Privacy Policy explains what information My Roadie collects, how that information is used and shared, and the choices you have regarding your information.

By using My Roadie, you acknowledge the practices described in this Privacy Policy.

1. Information You Provide to My Roadie

When you create and use a My Roadie account, you may provide information such as your name and email address.

You may also choose to enter information related to your music business and work, including:

  • gigs, venues, dates, schedules, contacts, notes and production details;
  • income, expenses, mileage, merchandise sales and inventory;
  • invoices and client contact information;
  • contacts and collaborators;
  • receipts and gig-related documents;
  • saved venues and locations;
  • gig photos and flyers; and
  • posts or reviews submitted through community features such as My Green Room.

My Roadie stores this information so that it can provide the organizational and business-management features you choose to use.

My Roadie does not currently connect directly to your bank accounts, credit cards, Venmo, PayPal, Cash App, Square or other financial institutions or payment processors. Financial information shown in My Roadie is information you enter yourself or information generated from your activity within My Roadie, such as recording an invoice as paid.

2. W-9 and 1099 Forms

My Roadie provides tools that allow you to prepare certain tax forms, including W-9 and 1099-NEC forms.

These forms are designed to be completed and generated locally in your browser or device.

For the current W-9 and 1099 tools, My Roadie does not store your Social Security number, taxpayer identification number, EIN, signature, completed form data or generated PDF in the My Roadie database.

The completed PDF is generated on your device for you to download or share.

You are responsible for securely storing and transmitting any tax documents after they are generated.

3. Invoices and Financial Records

Invoices created in My Roadie are stored as structured records so that you can create, view and track invoices, including whether an invoice is unpaid, paid or cancelled.

Invoice records may include information such as your name or artist name, client name and contact information, services provided, dates, amounts and notes.

Invoice PDFs are generated from this information when you choose to download or share an invoice. My Roadie does not currently require or provide an external invoice-file upload as part of this feature.

Your personal transactions, invoices, receipts, mileage records, merchandise records and gig documents are not automatically shared with Acts & Crew collaborators.

4. Receipts and Gig Documents

When you upload a receipt or gig-related document such as a contract, My Roadie uses private file storage for new uploads.

Temporary access links may be created when you choose to view a private file or when a feature needs temporary access to it.

If you use receipt scanning, a temporary link to the receipt image is provided to My Roadie's AI service so that information such as the merchant, date and amount can be extracted and suggested to you.

Do not upload information that is unnecessary for your use of My Roadie.

5. Gig Photos and Flyers

My Roadie allows you to upload photos and flyers and associate them with gigs.

Gig photo records are associated with the account that uploaded them and are not automatically shared with Acts & Crew collaborators. However, the underlying image files for gig photos currently may be stored using publicly accessible file links.

Flyers may also be stored using publicly accessible file links because the flyer feature is intended to support promotional content that is generally designed for sharing.

You should not upload private, confidential or sensitive images through the Gig Photos or Flyer features.

6. Location Information

My Roadie uses location information only when it is useful for features you choose to use.

For venue and address searches, your browser may request permission to access your approximate location. If permitted, My Roadie may temporarily cache latitude and longitude information on your device for up to approximately 24 hours to help prioritize nearby venue results.

When you use live mileage tracking, your device's location may be used while tracking is active to calculate distance traveled. The raw GPS path is maintained temporarily while the tracker is running and is not permanently stored by My Roadie.

When you save a mileage trip, My Roadie stores the trip information you confirm, such as the starting location, destination, mileage, date and notes—not the underlying GPS path.

You can control location permission through your browser or device settings.

7. Venue Search, Maps and Directions

My Roadie uses third-party mapping and location services to provide venue search, address suggestions, routing and directions.

These services may include Google Places, OpenStreetMap, Photon, OSRM and Google Maps.

For example, when you search for a venue, your search text and an approximate location bias, when available, may be sent to Google Places or another location provider to return relevant results. When calculating a route, geographic coordinates may be sent to a routing service to calculate distance.

My Roadie's use of Google Maps Platform services is subject to Google's applicable terms and Google's Privacy Policy.

8. My Roadie AI and Automated Features

My Roadie includes optional AI-assisted features.

When you use the My Roadie AI assistant, information you submit to the assistant may be sent to an AI service provided through Base44. To provide useful responses about your work, My Roadie may also include relevant information about upcoming gigs in the request.

If you use voice input, your browser's speech-recognition functionality may convert your speech to text before the text is sent to the assistant.

AI conversation history is currently stored locally in your browser rather than in the My Roadie database. You may delete conversations through the AI conversation interface.

My Roadie also uses AI to assist with receipt scanning as described above.

You should not enter confidential or highly sensitive personal information into the My Roadie AI assistant.

9. Acts & Crew and Shared Gigs

My Roadie allows users to organize Acts & Crew and share gig information with collaborators.

When a gig is shared, collaborators may see the gig's operational information, such as the date, time, venue, address, production information, venue contact information, notes and flyer.

Personal business records associated with the gig—including transactions, invoices, receipts, mileage logs, merchandise records, Gig Documents and Gig Photos—are not automatically shared with collaborators.

Because information entered into a shared gig may become visible to collaborators, you should avoid placing private or sensitive personal information in shared gig notes or other shared gig fields.

10. My Green Room and Community Information

My Green Room is a community feature.

Information you choose to post there—including your post, venue, rating, category, date and the author name you provide—is visible to other signed-in My Roadie users.

Your email address and account ID are not displayed as part of a My Green Room post.

Do not post confidential information or personal information about another person that you do not have the right to share.

11. How We Use Information

My Roadie uses information to:

  • provide and operate the features you request;
  • save and organize your gigs and business records;
  • provide venue search, maps, directions and mileage functionality;
  • generate invoices and forms;
  • provide AI-assisted features;
  • support collaboration and community features;
  • maintain account functionality and security; and
  • troubleshoot, maintain and improve the service.

The current My Roadie application does not contain advertising, behavioral-advertising trackers or marketing pixels, and My Roadie does not sell user information.

The current application code also does not contain a third-party analytics SDK. Base44 may perform infrastructure, security, request or error logging as part of operating its platform.

12. Service Providers and Third Parties

My Roadie relies on service providers to operate certain features. Depending on the features you use, information may be processed by services including:

  • Base44 for hosting, authentication, database functionality, integrations and file storage;
  • Google Places and Google Maps for venue search and directions;
  • OpenStreetMap and Photon for mapping, search and geocoding;
  • OSRM for route and mileage calculations; and
  • AI services accessed through Base44 for the My Roadie assistant and receipt scanning.

Information is provided to these services only as reasonably necessary to perform the requested functionality.

Those services may process information according to their own terms and privacy policies.

13. Information Stored on Your Device

My Roadie may store limited information in your browser or device storage, including:

  • a temporary location cache used to improve nearby venue searches;
  • My Roadie AI conversation history; and
  • temporary information needed to complete login navigation.

Clearing your browser's site data may remove locally stored information, including AI conversation history.

14. Data Sharing

My Roadie does not sell your personal information.

We may share or process information:

  • with service providers when necessary to operate a feature you request;
  • with collaborators when you intentionally use a sharing feature;
  • when you intentionally post information to a community area;
  • when you choose to download, send or share content yourself; or
  • when required by law or reasonably necessary to protect the rights, safety or security of My Roadie, its users or others.

15. Data Retention and Deletion

You can delete many of your records directly within My Roadie, including gigs, transactions, mileage records, contacts, invoices, merchandise records, gig notes, gig documents, gig photos, saved venues, acts and your own community posts. You may also delete locally stored My Roadie AI conversations through the AI interface.

When you delete a record in My Roadie, it is removed from your account.

Some uploaded files may remain in our service provider's storage for a period of time due to technical, backup, security or legal requirements.

My Roadie does not currently offer a self-service option to delete your entire account or export all account data at once. If you would like assistance deleting your account or data, contact support@myroadieapp.com.

16. Security

We use reasonable measures intended to protect information stored through My Roadie, including account-based access controls and private storage for certain types of uploaded files.

However, no internet service, storage system or method of electronic transmission can guarantee absolute security.

Users are responsible for protecting their login credentials and for using appropriate care when downloading, storing or sharing business records and documents.

17. Children's Privacy

My Roadie is intended as a business and organizational tool for musicians and music professionals and is not directed to children under 13.

We do not knowingly collect personal information from children under 13. If we learn that such information has been collected inappropriately, we will take reasonable steps to address it.

18. Changes to This Privacy Policy

We may update this Privacy Policy as My Roadie changes.

When material changes are made, we may update the effective date and provide additional notice when appropriate.
